| January 2004 Letter to Vendors BACKGROUND: Springfield Public Schools, or The School District of Springfield R-12, Springfield Missouri, is the third largest school districts in the State of Missouri. As one of the largest employers in the city of Springfield, the District contributes significantly to the economic base of the area, employing approximately 3,500 full-time and 850 part-time employees. The District currently hosts a student population of approximately 24,500 students. OVERVIEW: The Purchasing Department is responsible for the procurement of all goods and services in conformance with Missouri law and Board of Education Policies and Regulations. The Purchasing Department should be the first point of contact for vendors wishing to present or demonstrate products. AUTHORITY: The Springfield School Board delegates authority to the Coordinator of Purchasing to issue purchase orders for the procurement of goods and services. VENDOR VISITS: The Purchasing Department welcomes and encourages visits by vendors or their representatives. In order that the staff and vendors may schedule their time most productively, Buyers are generally available Monday through Friday from 8:30-11:30 for vendor visits. Appointments may be scheduled with a Buyer at other times as is mutually convenient. VENDOR ASSISTANCE: Springfield Public Schools encourages vendors to supply line cards, catalogs, and price lists of the goods or services they provide in addition to providing the District assistance in the development and writing of specifications. BIDDERS LIST: The Purchasing Department maintains a listing of all registered prospective bidders. To be placed on the appropriate bid list, vendors must submit a Vendor Bid Application that will provide the District with information about the prospective vendor and identify the materials they wish to provide. All qualified bidders will be afforded equal opportunity to quote/bid and will compete on equal terms.
ONLINE BIDDING : The School District of Springfield R-12 has recently selected eSchoolMall as our online bidding application. Starting in the fall of 2007, the Purchasing Department will start utilizing eSchoolMall for sealed bids and quotes. Vendors are encouraged to visit www.eschoolmall.com and register as a vendor. There is no charge to register or submit bids via eSchoolmall for District solicitations. Once vendors register with eSchoolMall, please notify the District Purchasing Department that you have registered and under what commodities you provide. Once you have registered with eSchoolMall and notified the Purchasing Department, you will be notified via email when the District releases a solicitation.
